What It Does
The Follow-Up Email with Calendar Slots workflow automatically drafts personalized follow-up emails after external meetings—and includes your real available time slots for scheduling the next call.
Whenever a new external meeting ends, AskElephant:
- Analyzes the meeting transcript and attendees
- Generates a professional follow-up email that includes:
- A warm greeting thanking attendees
- A concise recap of main discussion points (3-5 bullets)
- Clear next steps and action items with owners
- 3 specific available time slots from your calendar (next two weeks, preferring mornings)
- An enthusiastic close about moving forward
It also:
- Checks your calendar for this week and next week
- Finds real 30-minute gaps between meetings
- Converts all times to EST (adjustable) with clear formatting (e.g., "Tuesday, October 28 at 2:00 PM EST")
- Creates a conversation in AskElephant with full context attached so you can review and edit before sending
This workflow runs automatically for your selected team members, saving hours of manual email drafting and calendar checking.

Set It Up
- Go to Workflows → New Workflow (or edit this one).
- In the New Meeting trigger, set it to run for the correct people or teams.
- Make sure "External Only" is selected so it only runs for customer/prospect meetings.
- Review the email generation prompt and adjust tone/style if needed (in the "Run Prompt" node).
- The workflow creates a conversation where the draft appears—you can review and send from there.
- Click the three dots in the top right and select Activate Workflow.
Your follow-up emails with calendar slots will be drafted automatically after every external meeting.
