Weekly Workflow: Sales-to-CS Handoff Summary

What It Does

The Sales-to-CS Handoff workflow automatically generates comprehensive client transition summaries whenever a CSM is assigned in HubSpot—so your Customer Success team hits the ground running.

When a company's CSM field updates in HubSpot, AskElephant:

  • Searches the last 90 days of meeting history with that company
  • Analyzes transcripts, deal data, and CRM records using AI with full HubSpot access
  • Generates an executive-ready handoff document covering:
    • Deal summary & commercials (pricing, contract terms, special arrangements)
    • Client overview (goals, challenges, stakeholders, decision-making process)
    • Sales expectations & concerns
    • Solution overview & business impact
    • Customizations & integrations
    • Key interactions timeline
    • Outstanding issues & action items
    • Top risks
    • Upsell/cross-sell opportunities
    • Next steps
  • Delivers a threaded Slack DM to the assigned CSM with:
    • First message: Quick executive summary (Sales to CS Handoff section)
    • Second message: Full detailed report with all sections

The workflow runs automatically whenever a HubSpot company's CSM field is updated, giving new CSMs instant context without manual handoff meetings.

Purpose

The goal: eliminate incomplete or missing sales-to-CS handoffs. With automatic handoff documentation:

  • CSMs get full context on deals, expectations, and risks before their first client call
  • Sales teams don't need to schedule lengthy handoff meetings
  • Critical details from the sales process (promises, customizations, concerns) are never lost
  • Success teams can proactively address risks and capitalize on upsell opportunities
  • Everyone saves time and delivers a better customer experience

Set It Up

  • Go to Workflows → This Workflow
  • In the Company Updated trigger, configure which HubSpot property triggers the workflow (default: "CSM" field)
  • The workflow will automatically:
    • Pull 90 days of meeting data
    • Generate the comprehensive handoff summary using AI
    • Look up the assigned CSM in your workspace
    • Send them a threaded Slack DM with the summary
  • Click the three dots in the top right and select Activate Workflow

Your CSMs will automatically receive detailed handoff summaries whenever they're assigned to a new account.

Testing the Workflow

To test this workflow:

  • Save any pending changes first
  • Click the Test button in the top right corner
  • Select a HubSpot company that has:
    • A CSM assigned (in the property field configured in the trigger)
    • Recent meetings in the last 90 days

The workflow will run and deliver the handoff summary to that CSM via Slack DM
